REGISTRATION SERVICES DEPARTMENT
The Registration Services Department assists Exchange Trading Permit Holders, their Associated Persons, and Trading Permit Holder (TPH) applicants with any CBOE issues. The Department processes all Trading Permit Holder applications, changes in Trading Permit Holder status and handles other matters related to individual and firm qualification and maintenance of Exchange Trading Permit Holder status.
The Department reviews the fingerprint record of each Individual Trading Permit Holder and of all TPH Organizations' Associated Persons electronically received from the FBI to determine if further action is warranted. Once these fingerprints have been processed, the Department provides a copy of the fingerprint and the associated FBI report, to the Trading Permit Holders for record keeping purposes, as required by SEC statute.
The Department also provides administrative support to Trading Permit Holders associated with their registration requirements on the Central Registration Depository (WebCRD). The Department supports a TPH Organization's Form BD registration with the CBOE and registration license requirements for Associated Persons of TPH Organizations.
The Department also services Trading Permit Holders and their Associated Persons on the CBSX LLC, the CBOE Futures Exchange LLC and OneChicago LLC.
Document Management:
The Department Director is responsible for the administration of the Exchange-wide document management initiative. This initiative commenced ten years ago with the implementation of a records storage and retrieval repository for the Registration Services and Accounting Departments and OPRA. The repository now contains over 280,000 documents, which include, among the various images records, TPH files, fingerprints and FBI reports, accounts payable documents, travel and expense reports, monthly financial statements, CBOE rule filings and OPRA contracts.
The Regulatory Services Division, utilizing imaging technology, in combination with Optical Character Recognition (OCR) search capability, utilizes several electronic databases which include Business Conduct Committee (BCC) meeting supporting documentation, Department of Market Regulation materials, Exchange Regulatory Circulars with specific relevance to the Division, Internal Review Board (IRB) systems projects documents, SEC Chronological Files, and the Department of Member Firm Regulation firm audit documentation.M
